Institutional & Administrative

U10Faculty & Staff Use
Training Available
  • ESMT permits and promotes faculty use of AI in teaching and administrative work
  • The university states that the Digital Innovation and Transformation unit integrates emerging technologies into teaching and operations, that faculty use AI-supported solutions for teaching challenges, and that AI helps with grading, feedback, content development, and administrative tasks

We created the Digital Innovation and Transformation (DIT) unit to integrate emerging technologies into teaching and operations, ensuring they enhance learning and align with our mission.

At ESMT, faculty set high standards for innovation, keen to safeguard academic rigor and preserve meaningful student interaction. We approached this challenge not with sweeping promises but with practical solutions to everyday frustrations: grading and feedback that consumed weekends, administrative tasks that reduced time for student engagement, and course content updates requiring hours of manual research.

In hands-on workshops, faculty tackled their own teaching challenges and left with ready-to-use, AI-supported solutions.

These tools support idea generation, streamline content development, and free up time for mentoring and direct student engagement.

U11Institutional Data Protection & Approved AI Platforms
Data Policy Defined
  • ESMT defines data-protection conditions for AI-enabled video-conference and learning platforms used by the institution
  • It states that personal data from participation in video conferences is not disclosed to third parties unless intended or legally required, identifies specific providers used by ESMT, and records GDPR-related contractual safeguards and cross-border processing conditions for AI features such as transcriptions, meeting summaries, quick-polls, and the Full Fabric 'Mentor' feature

• We do not disclose personal data processed in connection with participation in video conferences to third parties unless it is specifically intended for disclosure or we are legally obligated to do so. This does not affect the processing of personal data by the providers of the video conference tools mentioned below, which may be used at ESMT.

ESMT works with the providers listed below. If these are US companies, they all actively participate in the EU-US Data Privacy Framework (DPF) and are certified accordingly. Since July 10, 2023, there has been a new adequacy decision of the European Commission for participants of the EU-US DPF.

• Engageli (Data Privacy) is an E-learning platform by an US provider. Engageli Employs its AI Tool to generate transcriptions and Quick-Polls. We have concluded Standard Contractual Clauses with Engageli, Inc. that complies with the requirements of Art. 28 GDPR.

• Zoom X (Data privacy | Deutsche Telekom) is a service provided by Telekom Deutschland GmbH. Zoom X utilizes an AI Companion to generate transcriptions and meeting summaries. We have concluded a data processing agreement with Telekom Deutschland GmbH. that complies with the requirements of Art. 28 GDPR. An adequate level of data protection is ensured by the conclusion of the so-called EU standard contractual clauses. In addition, it is agreed that personal data shall be processed on EU servers. Nevertheless, it is not excluded that processing also takes place in a third country.

• Cisco Webex (Cisco Online Datenschutzrichtlinie - Cisco) is a service provided by an US provider. Cisco Webex utilizes its AI-powered Webex Assistant to generate transcriptions and meeting summaries. Cisco Webex utilizes its AI powered Webex Assistant to generate real-time transcriptions and meeting summaries. We have concluded a data processing agreement with Cisco Webex that complies with the requirements of Art. 28 GDPR. An adequate level of data protection is ensured by the conclusion of the so-called EU standard contractual clauses. Personal data is partly processed on an EU server. It is therefore not excluded that processing also takes place in a third country.

• Full Fabric (Data Privacy) is an application and student-management platform provided by a European vendor. Full Fabric uses AI-supported feature “Mentor”. U12University AI Governance & Strategy
AI Strategy Defined
  • ESMT states that it has an institutional AI strategy and governance approach
  • The university says it invested in digital maturity before generative AI became widespread, created the Digital Innovation and Transformation unit to integrate emerging technologies into teaching and operations, launched an AI Pioneers program to accelerate adoption, and uses a governance framework developed with the Legal team that relies on guidelines, transparency, ongoing review, dialogue, feedback loops, and policy refinement

Long before “generative AI” entered everyday conversation, ESMT leadership made a strategic decision: invest in digital maturity not as a reaction to an immediate problem, but as a way to future-proof the institution. We created the Digital Innovation and Transformation (DIT) unit to integrate emerging technologies into teaching and operations, ensuring they enhance learning and align with our mission.

Our governance framework, developed with the Legal team, ensures responsible use through clear guidelines, transparency, and ongoing review.

We built on this momentum by launching the AI Pioneers program – a voluntary, peer-led community that accelerated adoption across the school.

We address them through ongoing dialogue, feedback loops, and policy refinement guided by our Legal team’s governance framework. This responsive approach keeps our guidelines current with rapidly evolving technology while maintaining accountability.
